Privacy notice
Last updated: November 2026
This notice explains what personal information ClearLeeCars collects, why, how long we keep it and the rights you have. It covers dealers who use the platform and anyone visiting clearleecars.co.uk.
Who we are
ClearLeeCars is an online platform that gives independent UK car dealers a website, stock management and business tools. It is run by Lee. We are the data controller for personal information about the dealers who use ClearLeeCars and about visitors to clearleecars.co.uk.
To contact us about anything in this notice, email support@clearleecars.co.uk.
Dealers' websites and their customers
Each dealer on ClearLeeCars has their own website (for example yourgarage.clearleecars.co.uk or the dealer's own domain). When you send an enquiry, book a viewing or leave a review on a dealer's website, that dealer is responsible for your information. ClearLeeCars stores it securely on the dealer's behalf and doesn't use it for anything else. Every dealer website has its own privacy notice, linked at the bottom of its pages, which explains this and how to contact the dealer.
What we collect
- Dealer accounts: your business name and web address, contact name, email address, phone number, business address and postcode, username and password. Passwords are stored only in a one-way scrambled (hashed) form, so nobody can read them.
- Sign-in security: every dealer sign-in needs a second step. For passkeys we store a public key and the device type (such as "iPhone"); your face or fingerprint never leaves your device and we never receive it. For authenticator apps we store the app's shared key in encrypted form. Recovery codes are stored only in hashed form.
- What dealers add: vehicles, photos, logos, prices, costs and notes, website text, opening hours, and the buyer details a dealer records when selling a car.
- Emails: the emails we send you about your account, such as your welcome email.
- Feedback: what you send us through Send feedback or by email, with your business name and contact details so we can reply.
- Technical information: like all websites, our servers record basic details of each visit: your IP address, the page requested, the date and time, and your browser type. We use this to keep the platform secure and working.
- Distance search: if you enter your postcode to sort cars by distance, your browser sends it to postcodes.io (a free UK postcode service) to find its location. That location is saved only on your own device, so the search remembers it; it is not sent to us.
Cookies and tracking
ClearLeeCars doesn't use advertising, analytics or tracking cookies, and we don't build marketing profiles, so there's no cookie banner. We use one cookie that is strictly necessary: it keeps dealers signed in to their admin (for up to 14 days, renewed each time you use it), and remembers the light/dark display choice if you change it.
Our pages load fonts from Google Fonts and icons from jsDelivr, so your browser connects to those services and they see your IP address; they don't set cookies. On dealer websites, the Google map is only loaded if you tap "Show map" (Google may set cookies once it loads), and videos use YouTube's privacy-enhanced mode or Vimeo's do-not-track setting.
Why we use your information
- To provide ClearLeeCars to dealers, including free trials, your website, stock tools and account emails. The lawful basis is the contract with you, or steps you ask us to take before entering one.
- To show dealers' cars on their websites and on the ClearLeeCars marketplace, with the dealer's business name and town. The lawful basis is the contract with the dealer.
- To keep the platform secure and prevent abuse. The lawful basis is our legitimate interest in protecting our systems and users.
- To meet legal obligations, such as keeping business records.
How long we keep it
- Dealer accounts: for as long as the account is open. A dealer can delete their account at any time from Account Info in the admin; this deletes the account and everything in it (vehicles, photos, enquiries, bookings, reviews and users) straight away.
- Trials: if a free trial ends and the dealer doesn't continue, we delete the account and its data within 3 months of the trial ending.
- Server logs: deleted automatically after 30 days.
- Backups: kept for up to 14 days, then deleted.
Who we share it with
We don't sell your information or share it for marketing. We use these service providers, which process information only on our instructions:
- Oracle Cloud Infrastructure: hosting, database and email sending, all in the UK (London).
- UK Vehicle Data: when a dealer looks up a registration number, the registration is sent to get the vehicle's details.
- postcodes.io: to find the location of a dealer's postcode (and yours, if you use distance search).
Data we hold is stored in the UK. Google Fonts and jsDelivr may handle your IP address outside the UK when your browser loads fonts and icons. We may also disclose information where the law requires us to.
How we protect it
ClearLeeCars is only served over encrypted HTTPS, and our servers connect to the database over encrypted connections. Passwords are hashed, access to our servers is restricted to authorised people using secure keys, software is security-patched automatically, and each dealer can only ever see their own account's information.
Your rights
You can ask for a copy of the information we hold about you, and ask us to correct it, delete it, restrict or stop using it, or give it to you in a portable format. To make a request, email support@clearleecars.co.uk. We'll respond within one month. If your request is about an enquiry, booking or review on a dealer's website, please contact that dealer; we'll help them deal with it.
Complaints
If you're unhappy with how we've handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint.
Changes to this notice
We'll update this page if the way we handle personal information changes. The date at the top shows when it was last updated.
